Secretary

We are seeking a Secretary to provide full secretarial/PA service to senior members of THIS Institute, supporting the smooth and efficient operation of their work and the running of the Director’s Office and to provide occasional cover for colleagues.

You will be responsible for providing administrative and PA support to senior staff, managing diaries ensuring that time is well-ordered and prioritised. You will support committees and institute meetings, provide information for reports, draft agendas and minutes, circulate meeting papers, monitor membership of committees and compile paperwork for conferences as required. You will be responsible for organising events and meetings, advising on venues, booking rooms, ordering office supplies and refreshments, sending out invites and directions. You will word process, collate and distribute materials for events, seminars, meetings and will manage Zoom accounts on behalf of the institute, including booking and scheduling virtual meetings.

We are looking for someone who can demonstrate knowledge and previous experience of supporting meetings and minute taking, diary management, organising events and meetings. You should be familiar with software which supports hybrid working, for example Zoom, MS Teams, etc. You must have excellent communication, organisation and interpersonal skills and be highly competent using standard software applications including Word, Excel and Outlook.

This post is full time and part-time applications are welcome at a minimum of 80% FTE.

Fixed-term: The funds for this post are available until 31 July 2025 in the first instance.

You will be based at Strangeways Research Laboratory, Worts’ Causeway, Cambridge, CB1 8RN (approximately 2 miles south of the city centre).
